1) Overview

OutsourceSy, LLC (“OutsourceSy,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard Personal Information when you:

  • visit our websites (including outsourcesy.com)

  • interact with our forms, chat, email, SMS, or ads

  • use our software and services (our “Platform”)

  • communicate with us (e.g., sales, support, billing)

If you do not agree with this Policy, please do not use our websites or Platform.

This Policy is part of, and governed by, our Terms of Service.


2) Roles & Scope (Controller vs. Processor)
  • Controller (we decide why/how data is used): website analytics, cookies, leads you submit to us, customer accounts, billing, support, sales/marketing.

  • Processor (we process data on your behalf): data you or your team upload to your OutsourceSy account (e.g., contacts, conversations, content, call/SMS/email logs). You are the Controller for this data; we process it under our Terms, your instructions, and any applicable Data Processing Agreement (“DPA”).

3) Definitions
  • Personal Information: information that identifies or can reasonably be linked to an individual (e.g., name, email, phone, device IDs, IP address).

  • Sensitive Personal Information: categories such as precise geolocation, health, financial account numbers, etc., as defined by applicable law.

  • Services/Platform: our Always-On Growth Systems (AI chat/voice agents, CRM, forms, funnels, calendars, workflows, messaging, review tools, etc.)


4) What We Collect

We collect Personal Information in three ways:

A) Directly from you
  • Contact & identity data (name, email, phone, company, job title)

  • Account credentials (name, email/password or SSO data)

  • Billing & payment details (handled by third-party processors)

  • Support/sales communications and meeting notes

  • Content you upload (files, images, copy, prompts), feedback

If you provide information about others, you represent you have the authority and any necessary consent to do so.

B) Automatically (website & app)
  • Device & usage data (browser type, operating system, IP, device IDs)

  • Log data (pages viewed, links clicked, referrer URL, session duration)

  • Cookies & similar tech (pixels, tags, local storage) – see Section 6

C) From third parties (when you choose to connect)
  • Integrations (e.g., email, calendars, telephony, payment gateways, analytics, ad platforms, helpdesks, storage, social APIs)

  • Enrichment/lead sources (lawfully obtained B2B contact data)

  • Partners (referrals, co-marketing, channel sales)

We take reasonable steps to ensure third parties have a lawful basis to share data with us.


5) How We Use Personal Information

We use Personal Information to:

  • Provide and maintain the Platform (account creation, authentication, hosting, routing email/SMS/voice, troubleshooting, security)

  • Operate our business (billing, accounting, audits, collections, analytics, reporting)

  • Support & success (respond to tickets, training, onboarding, updates, product notices)

  • Improve & develop (usage analytics, research, testing, service optimization, new features)

  • Communicate (transactional messages, security alerts, policy updates, surveys)

  • Marketing & advertising (subject to your choices—see Section 9)

  • Legal & compliance (enforce Terms, prevent fraud/abuse, respond to lawful requests)

AI Features

When you use AI features, we process inputs/outputs to deliver results and improve feature performance and reliability. We do not use your customer data to train generalized models for others. If you connect specific APIs (e.g., Google), our access and use will comply with the API provider’s applicable policies (including Limited Use, where required).


6) Cookies & Similar Technologies

We use cookies, pixels, and similar technologies to:

  • enable core site/app functionality and security

  • remember preferences and improve experiences

  • measure traffic and performance

  • personalize content/ads (where allowed)

You can manage cookies in your browser settings. Some features may not function without required cookies.

Do Not Track: our sites do not currently respond to DNT signals.


7) Legal Bases (EEA/UK only)

Where GDPR/UK GDPR applies, we process Personal Information under these legal bases:

  • Contract (to provide the Platform and fulfill agreements)

  • Legitimate interests (product improvement, security, B2B marketing with safeguards)

  • Consent (certain cookies/marketing where required)

  • Legal obligation (tax, accounting, compliance)

We’ll identify when data is required and consequences of not providing it.


8) Retention

We retain Personal Information only as long as needed to fulfill the purposes described here, comply with legal obligations, resolve disputes, enforce agreements, and maintain security. We may anonymize data for analytics and retain it in aggregate form.


9) Your Choices & Rights
Global
  • Marketing opt-out: unsubscribe links in emails; reply STOP for SMS; or email [email protected].

  • Preferences: manage certain settings in your account (where available).

  • Access/Update/Delete (Controller data): if OutsourceSy is the Controller (e.g., your own account info), contact [email protected]. If OutsourceSy is your Processor (data inside your workspace), please direct requests to the Controller (your organization).

US State Rights (e.g., CA/CO/CT/UT/VA)

Subject to exceptions, you may have rights to know/access, correct, delete, port, and opt out of certain uses (e.g., targeted advertising, sale (we do not sell Personal Information for money), or profiling with legal effects). To exercise rights, email [email protected] with “Privacy Rights Request” and your state of residence. We will verify your identity as required by law. You may use an authorized agent as permitted by law. If we decline a request, you may have the right to appeal by replying “Appeal” to our decision email.

EEA/UK/Switzerland

You may have rights to access, rectify, erase, restrict, object, and portability, and to withdraw consent (where processing is based on consent). Contact [email protected]. You may also lodge a complaint with your supervisory authority.


10) How We Share Information

We share Personal Information only as described below:

  • Service providers / subprocessors (hosting, storage, security, email/SMS/voice carriers, analytics, support tools, payment processors, CRM/CS tools). We contractually require appropriate confidentiality, security, and use restrictions. A current list of core subprocessors is available on request.

  • Integration partners you choose (e.g., email, calendars, telephony, payment, ads, social). Sharing occurs only when you connect or use the integration and is governed by that provider’s terms/policies.

  • Business transfers (merger, acquisition, financing, sale of assets, bankruptcy).

  • Legal (to comply with law, respond to lawful requests, enforce our Terms, protect rights/safety, prevent fraud/abuse, maintain security).

  • With consent (if you direct us to share).

We may share de-identified or aggregated data that does not identify individuals.
We do not sell Personal Information for money. We may engage in “targeted advertising” as defined by some state laws; you can opt out (see Section 9).

Phone numbers & opt-ins: We do not disclose your phone number or opt-in status to third parties for their independent marketing without your explicit consent.


11) Security

We employ administrative, technical, and organizational measures designed to protect Personal Information (e.g., encryption in transit, access controls, logging). No system is 100% secure. If you suspect unauthorized access, contact [email protected] immediately.


12) International Data Transfers

We are based in the United States and may transfer Personal Information internationally (e.g., to hosting, support, or integration providers). Where required, we rely on mechanisms such as Standard Contractual Clauses (SCCs) and supplementary measures. If we later appoint EU/UK representatives or certify to a framework, we will update this Policy.


13) Children’s Privacy

Our Platform is not directed to children, and we do not knowingly collect Personal Information from anyone under 16 (or lower age as permitted by local law, such as 13 in the U.S.). If you believe a child has provided Personal Information, contact [email protected] and we will delete it.


14) Third-Party Links

Our websites and Platform may link to third-party sites. Their privacy practices are governed by their own policies; we are not responsible for them. Use caution when leaving our site.


15) Communications (Email, SMS, Voice, WhatsApp)

By submitting forms or contacting us, you may receive confirmations, notifications, reminders, and updates.

  • SMS: Reply STOP to cancel; HELP for help. Standard carrier/data rates apply.

  • Email: Use the Unsubscribe link or email [email protected].
    You are responsible for obtaining the necessary consent from your own contacts if you send communications through your account.


16) Changes to This Policy

We may update this Privacy Policy periodically. The “Last Updated” date reflects the latest version. Material changes may be announced by email or in-app. Continued use after changes means you accept the updated Policy.
